Service Agreement

General Terms

 

1. There is no term to this agreement between the client or SOUTHERN SIMPLY CLEAN. Client may cancel cleaning service at any time. SOUTHERN SIMPLY CLEAN also reserves the right to cancel the service provided at any time if the job is not an ideal fit for the company. If you must cancel service we ask that you give at least a week's notice.

 

2. In case we do not meet or exceed your expectations we do have a 100% guarantee on our work. Please recognize that as with any other service we have the occasional mishaps. If for some reason something does not meet your approval please inform our office within 24 hours and we will make arrangements to have the problem corrected, at no additional cost within 24 hours of your complaint. SOUTHERN SIMPLY CLEAN does not refund cleaning unless we did not back up our guarantee to send someone to your home to re-clean the areas of concern. All calls and appointments will be scheduled during business hours only (Monday-Friday 9am to 5pm).

 

3. SOUTHERN SIMPLY CLEAN uses all its own cleaning solutions and equipment. Should you wish for us to use your cleaning products or equipment, please call the office prior to your cleaning. If you have asked us to use any of your equipment you agree not to hold SOUTHERN SIMPLY CLEAN or any personal responsible for damage to any article or component. We require that all housekeepers clean in a safe and non-hazard working environment therefore we ask all products asked to be used be non-toxic and follow the same culture of our service.

 

4. We will always strive to arrive on the day scheduled as requested and agreed upon; however, in rare cases we may have to reschedule due to employee illness or other obstacle out of our control. Rescheduling will always be a last resort and we will entertain every other option before rescheduling your appointment. If for any reason we are running behind or something should come up an agent will contact you as soon as possible to let you know of the situation.

 

5. There are two appointment windows available for cleaning. Our morning appointment is an arrival between 9am - 9:30a.m. and our afternoon appointment is a window of arrival between 11:00 - 3:00 pm.

 

6. Private Hiring of SOUTHERN SIMPLY CLEAN employees:

a. Please understand that we invest time and resources into recruiting, training and retaining our employees and for this reason we have policies in place to protect ourselves against such losses that would occur from an employee working privately for a current or past customer. SOUTHERN SIMPLY CLEAN forbids our staff to work for any of our customers on the side or soliciting their services to our customers. Each of our employees is required to sign a non-compete agreement at the start of employment. Please note that the same rule applies to our customers and we discourage our customers from privately retaining services from our employees.  

b. If, during the term of this Agreement or for twelve months thereafter, Client directly or indirectly retains the services of any employee of SOUTHERN SIMPLY CLEAN (or ex-employee within three months of the employee’s termination from SOUTHERN SIMPLY CLEAN) who has provided services to Client on behalf of the company, Client agrees that SOUTHERN SIMPLY CLEAN will be damaged, but that the amount of this damage will be difficult to determine.

 

c. Accordingly, Client agrees that for each such SOUTHERN SIMPLY CLEAN employee hired by Client, Client will pay SOUTHERN SIMPLY CLEAN Twenty-five Thousand Dollars ($25,000) as liquidated damages. Notwithstanding the foregoing “employee of SOUTHERN SIMPLY CLEAN shall include only employees of SOUTHERN SIMPLY CLEAN who provide services to it's customers and shall not include accountants, attorneys or other independent contractors of SOUTHERN SIMPLY CLEAN who provide services to them.

Security & Entry

Security is a major concern at SOUTHERN SIMPLY CLEAN. It is ideal for a client to be home when the staff arrives, however we understand that our clients are mostly working individuals. If you are not able to be home please arrange a point of entry and access instructions with our office. SOUTHERN SIMPLY CLEAN recommends the use of lockboxes to store your key. We do ask that you place the key on a keychain with bright colors so that we do not risk misplacing it once inside. We can also take garage codes, access panel codes, alarm codes, etc. Please give this info to our office before your scheduled cleaning. Our policy is to lock the door while we are cleaning and to not allow access to unknown people. For safety reasons, please don’t rely on our cleaning professionals to let in other service workers during the time we are in your home. While we do everything to maintain a staff of integrity please play it safe and secure cash, jewelry and other small valuables. 

 

Payment

We appreciate full payment on the day of your cleaning service. We currently take cash & check payments only. A $35.00 fee will be charged for any returned checks, in addition to any other fees charged by the banks. In the event there remains an overdue balance, the account will be transferred to a collection firm and you agree to pay any and all attorney fees, court costs and interest accrued in efforts to collect the overdue amount. Any and all legal means will be utilized to collect past due balances. All prior balances must be cleared, before the next service. 

 

Accidents & Damage

1. Because of the nature of our business our staff is required to touch virtually everything in your home. We are as careful as possible; however, if something does get damaged while cleaning your home, our staff are instructed to call our office at once and to leave a note advising you of the incident. The office will also follow-up with a phone call or email to determine the best course of action. In the event an item is damaged or broken we reserve the option of repair or replacement. A dollar value of “one-of-a- kind” items destroyed must be demonstrated in order that a settlement may be determined. SOUTHERN SIMPLY CLEAN is not responsible for damage due to normal cleaning techniques of improperly installed items, unstable furniture with fragile items or old or worn items, items broken from normal cleaning techniques that could not have been prevented unless untouched. These items include but are not limited to old blinds, wood that is already worn from age or poor past cleaning techniques, fixtures or items placed on an unstable surface. Please inform us if any items in your home require careful attention. All surfaces (marble, granite, etc.) are assumed to be sealed and ready to clean without causing harm.

 

2. The most tragic form of damage is something irreplaceable either monetary or sentimentally valued. Rather than be sorry, the safest way to protect these items is to store them away on the cleaning day, or instruct us not to clean such items.

 

3. Breakage of household items or damage to home must be reported within 48 hours of the incident taken place in order to create a case. Client must include pictures and full details before a case can be made if incident happened without housekeeper acknowledgement. Housekeepers are informed to take pictures and send to management if anything in the home is broken or damaged while on the job. 

 

Job Start & End Times

For hourly jobs, we charge from the time we arrive on the premises, which includes unloading of our supplies and equipment from our vehicle, to the time we have finished cleaning, including the loading of supplies back into our vehicle. Depending on the nature and size of the home there is no guarantee that the home will be completely finished for hourly jobs. Depending on scheduling you may have the option to add on additional time to finish the checklist provided.

 

Cleaning Fee Increases

SOUTHERN SIMPLY CLEAN reserves the right to reevaluate rates at any time and enforce increases needed to sustain profitable growth for the company.

 

Late Cancellations & Lock-Outs

We are a very understanding crew here at SOUTHERN SIMPLY CLEAN and we know things come up at the last minute. If you need to cancel please do so the day before your scheduled service. SOUTHERN SIMPLY CLEAN charges half your cleaning fee if we are on route to your home, locked out without a way to access or for same day cancellations. The charge is $50 if able to schedule within 48 hours of scheduled cleaning.

Sickness

If someone in your home is sick (contagious) please contact our office and we will be happy to reschedule your cleaning. In the interest of keeping our housekeepers healthy and happy, SOUTHERN SIMPLY CLEAN's staff is instructed not to clean homes where there has been a virus. 

 

Gratuity

Although a gratuity is not expected or required, the team members certainly welcome it! A great way to show the team your appreciation is with a gratuity. Please leave cash tip if you choose to leave one or you can leave a tip on your online payment. 

 

Clutter & House Preparation

Please prep your home if needed for your cleaning prior to our arrival (excess clutter picked up off the floor and other surfaces) so that we can have full access to disinfecting and cleaning these areas. This allows the cleaning staff to clean more thoroughly and efficiently. If you would like our housekeepers to do the prep-work please just let us know and we can make sure more time is allotted and your rate to be adjusted. We charge an additional $30 per room that needs extra attention and prepping before cleaning. If for some reason you do not want a particular room cleaned, please leave a note or email or call the office. Staff will not assume that you do not want a room cleaned if the door is shut.

 

Pets

We love our furry customers! However, we do need to know if you have them and we would like to have the pet's name. Also, if any pet is aggressive we ask that you secure them while we are cleaning your home. If they are friendly we will be happy to clean around them. Our teams are instructed not to enter a house if they believe an animal is a threat. Please remember that pets may behave differently if a family member is not present. Also, we are happy to secure your pet in a separate room while we clean if that is an option you are more comfortable with.

 

Hazardous Conditions

SOUTHERN SIMPLY CLEAN's staff is instructed to leave certain items untouched, such as items or areas containing any body fluids or excretions and litter boxes. If your pet has an accident it is the client's responsibility to clean it up. Our teams are advised to clean around these areas. Seasonal insect infestation can also be a problem and may prevent us from completely cleaning your home. If ants, termites or fleas, etc., are encountered, we will not clean or vacuum the area. We will leave you a note, or call you regarding the problem. We do not clean inside curio cabinets. If you have other items you prefer we not clean or handle, please call the office and we will arrange to avoid those items. Our staff cannot climb higher than a step stool, work on the outside of your home, move furniture that contains electronics, move furniture or objects heavier than 50 pounds , prepare meals, provide any pet or children-related services, or empty diaper pails.

 

Weather

In severe weather, we may determine it is not safe to travel and/or carry equipment and supplies to your home therefore your cleaning service for that day will be cancelled. When this occurs, we will always do our best to reschedule your appointment.

 

Closures

SOUTHERN SIMPLY CLEAN is closed Thanksgiving Day, Black Friday, Christmas Eve, Christmas Day, and Day after Christmas, Easter, Memorial Day and New Year’s Day. We will contact you approximately two weeks ahead of time to arrange an alternate day for that week if your cleaning day falls on a holiday. During those weeks our schedule is very full; you may wish to contact our office 4- 6 weeks ahead of time to reschedule your cleaning.

Social Marketing

SOUTHERN SIMPLY CLEAN will occasionally use before & after pictures from cleaning services performed in our customers homes. We will never display personal information or personal items such as family pictures, etc that would compromise your privacy.
